How Much Do Managed IT Services Cost?

Most IT providers will not publish a price. We do. Here are our actual rates, what they include, and what moves the number up or down.

Flat-Rate Managed IT Services Pricing

Managed IT services from OAC Technology cost $50 per computer, $150 per server or cloud environment and $25 per firewall each month, as a flat rate with no long-term contract and no minimum number of devices. A 25-person office with 25 computers, two servers and one firewall pays $1,575 a month for managed IT, about $63 per employee.

Those are our published rates, not an estimate, and the same ones our pricing calculator uses. The full rate card, the security and backup add-ons that move the number, and three worked examples are below.

Our managed IT services pricing

OAC Technology prices managed IT services by device, at a flat monthly rate, with no long-term contract. These are our actual rates, the same ones our pricing calculator uses:

  • Computer: $50 per month, desktop or laptop, in the office or remote
  • Server or virtual machine: $150 per month
  • Cloud environment (Microsoft, AWS, Google and similar): $150 per month
  • Firewall: $25 per month

Security and backup layers are priced separately, so you pay only for the ones you choose:

  • Server backups: $100 per server per month
  • Microsoft 365 backups (email, OneDrive and SharePoint): $5 per user per month
  • Email security and spam filtering: $6 per mailbox per month
  • SentinelOne antivirus: $12 per computer or server per month, or $8 alongside Huntress computer security
  • Huntress computer security: $9 per computer or server per month
  • Huntress cloud security: $5 per user per month
  • Huntress firewall security: $4 per firewall per month
  • Security awareness training: $2 per user per month

The calculator turns these rates into a ballpark for your equipment in about a minute; a formal quote follows a short conversation about what you have and what you need.

What a typical monthly bill looks like

Because the core service is priced per device and the security layers per user or per device, the cost per employee depends on how many devices each person uses and how much protection you want. These examples use the rates above:

Example 1: a 10-person office

10 computers, 1 server and 1 firewall: $675 per month for managed IT, about $68 per employee. With every security and backup layer added for 10 users, $1,146 per month, about $115 per employee.

Example 2: a 25-person office

25 computers, 2 servers and 1 firewall: $1,575 per month, about $63 per employee. With every layer added, $2,688 per month, about $108 per employee.

Example 3: a 50-person company

50 computers, 3 servers and 1 firewall: $2,975 per month, about $60 per employee. With every layer added, $5,080 per month, about $102 per employee.

Illustration: a 100-computer company

100 computers, 5 servers and 2 firewalls: $5,800 per month for managed IT, before security and backup layers. This one is computed from the same rates as an illustration, not taken from a client bill.

A manufacturer where forty employees share six shop-floor workstations pays for six workstations. A consulting firm where everyone has a laptop pays for the laptops. Device-based pricing fits the business instead of averaging it.

How this compares with typical managed IT pricing

Managed service providers most often quote per user, and fully managed plans commonly land somewhere between roughly $100 and $250 per user per month depending on what is bundled and how much security is included. Our device-based rates usually work out well below that range for the core service, because the core service is priced separately from the security layers and licenses that vary so much from one company to the next. That separation is deliberate: you can see what each piece costs, and you only pay for the layers you choose.

In an office where each person has one computer, $50 per computer works out to $50 per person, plus $150 for each server the office shares.

What the flat rate includes

  • Help desk and remote support for every covered device, with a dedicated technician who knows your business
  • 24/7 monitoring of servers, workstations and network equipment
  • Operating system and third-party patching on a schedule you approve
  • Server management and maintenance, on-site or in the cloud
  • Preventative maintenance and the reporting that shows what was done
  • Coordination with your software, internet and phone vendors
  • On-site support in the Minneapolis and St. Paul area when remote support is not enough

Our managed IT services page describes the service in full.

What is typically priced separately

  • Software licenses such as Microsoft 365, billed at the vendor’s rate
  • Managed security layers, priced per user, per computer or server, or per firewall at the rates above: SentinelOne antivirus, Huntress managed detection and response for computers, servers, Microsoft 365 accounts and firewalls, email security, and security awareness training. Tick them in the calculator to add them to your estimate
  • Backups, priced per server and per Microsoft 365 user at the rates above; our cloud backups page explains what is protected
  • Hardware, which we recommend without commission and you buy where you like
  • Projects such as office moves, server replacements and cloud migrations, scoped and quoted separately so they never surprise the monthly bill

Cloud backup pricing: server backups are $100 per server per month, and Microsoft 365 backups are $5 per user per month, covering email, OneDrive and SharePoint. Our cloud backups page explains what is protected.

What drives managed IT costs up or down

Illustration of three sliders for devices, servers and coverage hours
  • Servers. Each server or virtual machine is the largest single line, and backing it up and protecting it add to it. Moving workloads to Microsoft 365 or the cloud can remove servers from the bill entirely.
  • Headcount. The security and backup layers are priced per user, per computer or server, per mailbox or per firewall, so they grow with the number of people and machines rather than with the office itself.
  • Compliance obligations. HIPAA, SOC 2, CMMC and PCI add security layers, logging and evidence work. Those are priced as add-ons so businesses without the obligation do not pay for them.
  • Locations. Each site usually adds a firewall, network equipment and on-site time.
  • An internal IT person. If you already have one, a co-managed IT arrangement covers fewer services and costs less than a fully managed plan.

Per-device, per-user, tiered or all-inclusive: the pricing models explained

Per-device pricing, which we use, charges a flat rate for each covered computer, server, cloud environment and firewall. It is transparent, easy to budget and fair to businesses where employees share equipment. Per-user pricing charges for each employee regardless of devices, which is simple but expensive for shared-workstation environments. Tiered plans bundle services into bronze, silver and gold packages, which is easy to compare but usually means paying for things you do not use. All-inclusive pricing folds licenses, security and projects into one number, which hides what each piece costs. We chose per-device pricing with security and licenses shown separately because it is the model our clients can actually check.

Managed IT services versus hiring in-house

A single full-time IT administrator in the Twin Cities commonly costs well into five figures in salary before benefits, training, tools and the cost of covering their vacations, and one person cannot be an expert in help desk, servers, networking, cloud and security at once. A managed services plan for a 25-person office costs a fraction of that and comes with a team. Where a company already has an IT employee, a co-managed arrangement keeps them and adds the team behind them.

What a SOC 2 audited provider changes about the price

Nothing on the invoice, and a great deal in what you get for it. OAC Technology is examined by independent auditors every year under SOC 2, which governs how we control access to your systems and handle your data. Many providers at our price point are not audited at all. Our SOC 2 compliance page explains what the audit covers and what to ask any provider about theirs, and our article on what SOC 2 compliance is goes into the details.

Common questions about managed IT pricing

Is the pricing calculator estimate the actual price?

It is a ballpark built from the rates above. Our managed services pricing calculator gives you the number in about a minute; the formal quote follows a short conversation about your equipment, your locations and the security layers you want.

Is there a long-term contract?

No. We do not lock clients into long-term contracts. If you are not happy, we will help you find a provider you are.

Is there a minimum number of devices?

No. Small offices are priced for what they have.

Does the price include Microsoft 365?

No. Licenses are billed at the vendor’s rate so you can see them, and we will help you choose the least expensive plan that fits.

Does the flat rate include cybersecurity?

It includes the fundamentals: patching, monitoring, and secure configuration. Managed detection and response, antivirus, security awareness training and other layers are priced per computer, per server or per user so you can choose the depth you need.

What about break/fix hourly support instead?

We offer it. For most businesses with more than a handful of computers, a flat monthly plan costs less over a year and prevents the problems hourly work is billed to fix.

How much is it for a 50-person company?

With 50 computers, three servers and one firewall, $2,975 per month, about $60 per employee, before security and backup layers.

Is there a setup or onboarding fee?

Usually not. There is generally no onboarding fee for managed services clients whose systems are in working order; anything that needs fixing first is quoted before work starts. The first conversation is free. Most offices are fully onboarded within the first month: week one is the handover of credentials and documentation from your previous provider, the security layers and backups you chose are typically in place within the first three weeks, and the help desk is available from day one. Installing our tools does not require downtime.

How is co-managed IT priced?

Co-managed IT is priced by device at the same rates as our fully managed plans. Because your IT staff handle part of the work, a co-managed plan is typically scoped to fewer services than a fully managed one and costs less. The split is written into a responsibility matrix before we begin, and the pricing calculator gives a ballpark before we quote a flat monthly rate.
